Two options are available below for login: UCLA login and non-UCLA login.

 


Why use 
Internal REDCap?

  • Hosted behind mednet firewall-no public access.
  • Can be accessed via UCLA health network, UCLAHealthSecure wifi or GlobalProtect (Mednet) VPN
  • Require mednet account to access.
  • Can collect PHI data.
  • Can be used for all project types and purposes.
  • Cannot be used for public surveys as respondents will not be able to open up surveys without VPN connection.
  • Projects with surveys will function ONLY if respondents access the surveys within UCLA health network.

Why use 
External REDCap?

  • Public facing.
  • May be accessible without mednet account.
  • Can only collect limited PHI data (collection of certain patient identifiers will require approval of Compliance Office).
  • Projects must be of research purposes with IRB approval or exemption.
  • Can be used for public surveys.

You will need the following:

  • Involved in an IRB approved or exempt research project.
  • Affiliated with UCLA and have a UCLA email or collaborating with a UCLA research project and have an institutional email (requests using public email e.g. gmail, will not be processed).
  • If requester does not have mednet account, HIPAA certificate (UCLA, CITI or other institutions) must be submitted together with REDCap request form in other to be processed.
  • Submit REDCap request form to redcap@mednet.ucla.edu for UCLA affiliated persons.

Collaborators (non-UCLA staff or non-UCLA affiliated person):

Internal REDCap

  • The UCLA project investigator’s department authorizer is responsible to acquire mednet account with vpn rights for outside collaborator.
  • Once the mednet account is approved, the project investigator can submit a REDCap request form to redcap@mednet.ucla.edu.
  • It will be the project investigator’s department authorizer responsibility to confirm and renew the mednet account annually for outside collaborator.

External REDCap

  • For non-UCLA affiliated collaborators, please have UCLA investigator who will sponsor the account submit completed REDCap request form available from REDCap request form together with HIPAA certificate for the non-UCLA affiliated collaborator to redcap@mednet.ucla.edu.
  • UCLA investigators who sponsor non-UCLA affiliated collaborators are required to renew their sponsored accounts annually via the sponsor dashboard within REDCap.

Important:

  • When collecting real data, please make sure to move your project to production status in order to get data backup/corruption protection!
  • If your project change request was submitted after 2pm, it may not be processed until the next business day.
  • Survey invites and alert notifications sent by non-UCLA/non-mednet users will automatically use the universal from email address redcap.noreply@mednet.ucla.edu.
  • When using REDCap Mobile App, your mobile device must be enrolled with AirWatch!
